ERS for Windows is the cornerstone of a complete enterprise-wide cost recovery and expense management system. ERS works in conjunction with all Copitrak hardware and software to provide effortless control and tracking of office expenses including photocopies, faxes, phone usage, postage, networking printing, computer time, and other miscellaneous costs.

ERS software collects disbursement data from all sources including remote offices connected by modem or WAN. This data is then integrated, sorted, and costed for automatic export to third party time and billing systems and for printing in management reports.

ERS SYSTEM SOFTWARE HAS THE FOLLOWING FEATURES:

The highest realization of revenues from billable expenses is a hallmark of all Copitrak products. This is accomplished by the ERS system software through user conveniences at the data entry level, plus accuracy and flexibility at the costing and reporting level. ERS provides a tiered costing structure to allow for volume discounting, and specific cost discounting can also be applied based on the account or user. ERS provides a variety of easily customized report formats including summary, exception, and detail reports by account, user, department, or expense category. When presentation is critical, reports can be produced in a variety of graphical formats including colorful pie charts and bar graphs. Network transaction editing is also available via the WebEdit software module.

Using ERS for Windows with Network Validation provides true global availability of data in real time across the entire system. Photocopier and fax users save time and patience when validating accounts because user and account data is always up to date and account searches can be performed instantaneously from any Copitrak terminal or user P.C.

Network Validation uses fast Random Access Memory (RAM) to store and complete up-to-date enterprise wide real-time account and user list, including client number and account matter description. True global availability of data in real-time is provided to all Copitrak / Faxtrak terminals. In addition to Its validation functions, Network Validation also provides simultaneous high-speed polling of terminal transaction records when requested by ERS.

ERS for Windows is a true 32 bit multi tasking, multi threaded application and has the flexibility and network muscle to track all of a firm's expenses whether the firm consists of a single office, a network of worldwide offices, or anything in between. The software supports all types of LANs, WANs and all versions of Microsoft Windows including: Windows 2003 and Windows XP.

ERS for Windows is also expandable. The system provides a simple and inexpensive upgrade path to accommodate a firm's long-term growth and expansion needs. Firms can easily migrate from a relatively small ERS database loaded on a file server shared by Windows workstations, to a full client/server configuration with client applications from different platforms simultaneously accessing ERS data via a direct TCP/IP link to a large relational database server. The client/server option can dramatically reduce network traffic and improve data security, integrity, and query speeds.

ERS for Windows can be installed on a network server or client PC. Communication with disbursement terminals for polling of data, configuration updates and diagnostics is handled by the firm’s own network. The software can also import expense data in ASCII format as generated by third-party products on the network or even from postage meters.

Data can be exported in a variety of formats for automatic posting to client billing files. The continuous polling capabilities of ERS can provide real-time updates to these client files while simultaneously performing validation and reporting functions.
